We are looking for a Parts and Service Coordinator for the Toronto Pump and Power Branch (C45) in Brampton, ON!

What You’ll Be Doing
Duties and Responsibilities:

Coordinate parts ordering, receiving, stocking, and issuing to ensure technicians have what they need for timely repairs.

Ensure all shop supplies are adequately stocked and available.

Schedule and track equipment service and maintenance work, aligning technician availability with customer and fleet needs.

Open, update, and close work orders; ensure all service documentation is accurate, complete, and filed correctly.

Communicate with customers and internal teams to provide updates on service timelines, equipment status, and parts availability.

Assist in preparing service quotes and cost estimates for repairs and preventative maintenance.

Process warranty claims.

Monitor parts inventory levels, reconcile stock, and process returns, warranty claims, or exchanges as needed.

Coordinate the transfer of parts between branches to meet operational needs.

Coordinate parts pickups and deliveries with drivers.

Provide quotes and estimates to customers, addressing their needs promptly and professionally.

Match packing slips to receivers and invoices and file all documentation to support an efficient accounts payable process.

Collaborate with the Service Department and Shop teams to prioritize work orders and minimize equipment downtime.

Maintain organized records and reports related to service schedules, parts usage, and equipment history.

Support compliance with company policies, warranty processes, and safety standards.

What You’ll Bring to the Team
Qualifications and Requirements:

Minimum 3 years of
experience in the customer service, retail, or the construction equipment industry, preferably within the equipment
rental sector.

High school diploma or equivalent required; post-secondary education in business, logistics, or a related field is an asset (but not required).

Knowledge of construction or heavy equipment parts, service procedures, and maintenance practices is an asset.

Strong organizational skills with the ability to manage multiple priorities, schedules, and deadlines in a fast-paced environment.

Excellent communication skills (verbal and written) with the ability to interact professionally with customers, technicians, and vendors.

Proficiency with Microsoft Office (Word, Excel, Outlook); experience with service or inventory management systems (Systematics or similar) is an asset.

Strong problem-solving abilities with exceptional attention to detail in order tracking, scheduling, and documentation.

Ability to work independently and collaboratively in a team environment.

Flexibility and adaptability when priorities shift or urgent service needs arise.
